Custom workflow for an overlooked user persona

We helped Management Controls, inc through an intensive redesign of their 20-yr-old legacy platform, Track.

How do we improve timekeepers’ workflow through a fast-paced legacy redesign?

Impact:​

The mytrack platform helps over 300 oil and gas sites worldwide save over $50 billion anually in contractor spending – roughly 15% of their past spending.

Timekeepers review and process the work of 5MM+ contractors at 300+ oil and gas sites for companies like Shell and BP using the MyTrack platform globally. (This included the US, Canada, and the Mid-East.) The platform processes $60B+ in contractor spending a year and saves $6B+ for their customers annually.



Our Core contributions

  • UX writing: Many of our category labels were confusing and sounded like they could mean the same thing. So I simplified them – helping people complete their tasks faster and more confidently.
  • Information Architecture: We took a step back and created better IA source of truth – user flows – for each persona we were designing for so that designers and developers could better understand task flows.
  • User Research via Cross-functional collaboration: There’s always a way to research, even in a fast-paced agency environment. We networked throughout the organization and found a Product Owner who served for 20 years as a timekeeper herself. We tested our solutions on her – testing on one target user is infinitely better than none at all.
  • Human-centered design: The Timekeeper’s dashboard was initially a duplicate from another personas workspace, but after further discovery, we led the push for the development of a custom solution. For example, we built awareness around designing for preferred screen size per persona dashboard.

Our effort was to understand and uncover what data overviews are relevant for a timekeeper and create visualizations for them so that they don’t have to parse through a Coordinator’s data to find what he/she needs.

Sub-contractor usage
In order for vendors can get paid in full and on time, Timekeepers need to add sub-contractor usage on a daily basis for processing – for labor, equipment, materials, rental equipment.

Override request management

Most project initiatives require additional resources than the original scope. A timekeeper needs to be able to request overrides, or additional hours / equipment to be able to provide payment without a hitch.

Statement: During initial onboarding and as rates change for the agreement, timekeepers needs to work with others in her organization to review and approve the rates being loaded into Track before they are committed to the contract.
